{"id":21075,"date":"2026-07-06T14:39:04","date_gmt":"2026-07-06T19:39:04","guid":{"rendered":"https:\/\/securedb.io\/kb\/?p=21075"},"modified":"2026-07-06T14:39:05","modified_gmt":"2026-07-06T19:39:05","slug":"creating-and-editing-a-leadership-compass-cohort","status":"publish","type":"post","link":"https:\/\/securedb.io\/kb\/?p=21075","title":{"rendered":"Creating and Editing a Leadership Compass Cohort"},"content":{"rendered":"\n<p>A Leadership Compass cohort is the group of people who will complete the Leadership Compass process together.<\/p>\n\n\n\n<p>Creating a cohort is where you define who is participating, who is leading, who is facilitating, which pillars are included, and when the cohort is ready to launch.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Who can create a cohort?<\/h2>\n\n\n\n<p>Cohorts are usually created by a Champion or Admin.<\/p>\n\n\n\n<p>A Champion may be an HR leader, executive sponsor, internal coach, learning and development owner, or another person responsible for managing the Leadership Compass program.<\/p>\n\n\n\n<p>If you do not see the option to create or edit a cohort, you may not have permission to manage Leadership Compass setup.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Before creating a cohort<\/h2>\n\n\n\n<p>Before you create a cohort, it helps to know:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the cohort name<\/li>\n\n\n\n<li>who the participants are<\/li>\n\n\n\n<li>who the Champion is<\/li>\n\n\n\n<li>whether leaders need to be assigned<\/li>\n\n\n\n<li>whether facilitators need to be assigned<\/li>\n\n\n\n<li>which pillars should be included<\/li>\n\n\n\n<li>whether any additional pillar unlocks are needed<\/li>\n\n\n\n<li>when participants should begin<\/li>\n<\/ul>\n\n\n\n<p>A little planning during setup makes the experience much smoother for participants later.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 1: Name the cohort<\/h2>\n\n\n\n<p>Choose a name that will be clear to participants, leaders, facilitators, and admins.<\/p>\n\n\n\n<p>Good cohort names often include the group and timing.<\/p>\n\n\n\n<p>Examples:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Spring 2026 Leadership Compass<\/li>\n\n\n\n<li>Executive Team Compass<\/li>\n\n\n\n<li>New Manager Cohort<\/li>\n\n\n\n<li>Operations Leadership Group<\/li>\n\n\n\n<li>Department Head Compass<\/li>\n\n\n\n<li>Emerging Leaders Program<\/li>\n<\/ul>\n\n\n\n<p>Avoid names that are too vague, such as \u201cTest,\u201d \u201cGroup 1,\u201d or \u201cLeadership.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 2: Select the enabled pillars<\/h2>\n\n\n\n<p>A cohort can include all five pillars or only selected pillars.<\/p>\n\n\n\n<p>The five pillars are:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Know Your Core<\/li>\n\n\n\n<li>Set Your Standard<\/li>\n\n\n\n<li>Live Your Promise<\/li>\n\n\n\n<li>Lead Your Team<\/li>\n\n\n\n<li>Refine Your Compass<\/li>\n<\/ol>\n\n\n\n<p>Participants only complete the pillars enabled for their cohort.<\/p>\n\n\n\n<p>Depending on your organization\u2019s setup, Pillar 1 may be included as the starting point, while additional pillars may require unlocks or pricing confirmation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 3: Add participants<\/h2>\n\n\n\n<p>Participants are the people completing the Leadership Compass process.<\/p>\n\n\n\n<p>Participants will work through the enabled pillars, review reflection cards, accept their content, and eventually build a Leadership Compass Guide.<\/p>\n\n\n\n<p>When adding participants, confirm:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>they are in the correct organization<\/li>\n\n\n\n<li>they are intended to complete the program<\/li>\n\n\n\n<li>they are not being added only as a leader or facilitator<\/li>\n\n\n\n<li>their email\/user record is correct<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Step 4: Assign leaders<\/h2>\n\n\n\n<p>Leaders support participants through the program.<\/p>\n\n\n\n<p>A leader may be a manager, department head, executive, or team lead. Leaders may be able to view progress for the participants assigned to them.<\/p>\n\n\n\n<p>Leader access should be scoped carefully. A leader should generally see the participants they are responsible for, not every participant in every cohort.<\/p>\n\n\n\n<p>When assigning leaders, confirm:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>each leader is assigned to the right participants<\/li>\n\n\n\n<li>leaders understand what they can and cannot see<\/li>\n\n\n\n<li>leaders know their role is encouragement and accountability, not private reflection review<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Step 5: Assign facilitators<\/h2>\n\n\n\n<p>Facilitators guide participants through the Leadership Compass process.<\/p>\n\n\n\n<p>A facilitator may be an internal coach, HR partner, consultant, certified facilitator, or leadership development staff member.<\/p>\n\n\n\n<p>Facilitators may help participants interpret reflection cards, respond to check-in requests, leave feedback, and support completion.<\/p>\n\n\n\n<p>When assigning facilitators, confirm:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>facilitators are assigned to the right cohort or participants<\/li>\n\n\n\n<li>external facilitators have the correct user access<\/li>\n\n\n\n<li>facilitators understand their visibility boundaries<\/li>\n\n\n\n<li>participants know who is supporting them<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Step 6: Review pricing or pillar unlocks<\/h2>\n\n\n\n<p>Leadership Compass may include free and paid portions depending on your organization\u2019s setup.<\/p>\n\n\n\n<p>The free portion generally includes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Leadership Compass access<\/li>\n\n\n\n<li>CliftonStrengths entry<\/li>\n\n\n\n<li>Pillar 1<\/li>\n\n\n\n<li>the initial Leadership Philosophy informed by Pillar 1<\/li>\n<\/ul>\n\n\n\n<p>Additional pillars may require an unlock based on participants and selected pillars.<\/p>\n\n\n\n<p>Before launching, confirm the selected pillars match the intended program and pricing expectations.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 7: Save the cohort as draft<\/h2>\n\n\n\n<p>A draft cohort lets you configure the program before participants begin.<\/p>\n\n\n\n<p>Use draft status while you are still:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>adding participants<\/li>\n\n\n\n<li>assigning leaders<\/li>\n\n\n\n<li>assigning facilitators<\/li>\n\n\n\n<li>confirming pillar selection<\/li>\n\n\n\n<li>reviewing pricing<\/li>\n\n\n\n<li>preparing communication<\/li>\n\n\n\n<li>testing access<\/li>\n<\/ul>\n\n\n\n<p>Participants may not be able to begin until the cohort is active or launched.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 8: Launch or activate the cohort<\/h2>\n\n\n\n<p>When the setup is ready, the cohort can be made active.<\/p>\n\n\n\n<p>Once active, participants may be able to start the Leadership Compass process. Leaders and facilitators may also gain access to their role-specific dashboards.<\/p>\n\n\n\n<p>Before launch, confirm:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the participant list is correct<\/li>\n\n\n\n<li>leaders are assigned correctly<\/li>\n\n\n\n<li>facilitators are assigned correctly<\/li>\n\n\n\n<li>enabled pillars are correct<\/li>\n\n\n\n<li>the cohort name is clear<\/li>\n\n\n\n<li>notifications or launch communication are ready<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Editing a cohort<\/h2>\n\n\n\n<p>You may need to edit a cohort after it is created.<\/p>\n\n\n\n<p>Common edits include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>changing the cohort name<\/li>\n\n\n\n<li>adding participants<\/li>\n\n\n\n<li>removing participants<\/li>\n\n\n\n<li>assigning or changing leaders<\/li>\n\n\n\n<li>assigning or changing facilitators<\/li>\n\n\n\n<li>changing cohort status<\/li>\n\n\n\n<li>updating enabled pillars before launch<\/li>\n<\/ul>\n\n\n\n<p>Be careful when editing a cohort after participants have already started. Changes may affect progress, reporting, guide generation, or pricing.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Editing participants<\/h2>\n\n\n\n<p>Participants can usually be added before the cohort launches.<\/p>\n\n\n\n<p>If a participant has already started or completed work, removing them may affect progress history and reporting.<\/p>\n\n\n\n<p>Before removing a participant, confirm whether their Leadership Compass work should be preserved.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Editing leaders<\/h2>\n\n\n\n<p>Leader assignments may change if reporting structure changes or if the wrong leader was assigned during setup.<\/p>\n\n\n\n<p>When changing a leader assignment, confirm:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the new leader should see the participant\u2019s progress<\/li>\n\n\n\n<li>the previous leader should no longer see that participant if applicable<\/li>\n\n\n\n<li>the participant understands who is supporting them<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Editing facilitators<\/h2>\n\n\n\n<p>Facilitator assignments may change when a new coach or consultant takes over the cohort.<\/p>\n\n\n\n<p>When changing a facilitator assignment, confirm:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the new facilitator should have access<\/li>\n\n\n\n<li>the prior facilitator should retain or lose access according to your policy<\/li>\n\n\n\n<li>any private facilitator notes remain appropriately scoped<\/li>\n\n\n\n<li>participants know who to contact<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Editing enabled pillars<\/h2>\n\n\n\n<p>Be especially careful when changing enabled pillars.<\/p>\n\n\n\n<p>Changing pillars after launch can affect:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>participant progress<\/li>\n\n\n\n<li>next-step logic<\/li>\n\n\n\n<li>completion percentage<\/li>\n\n\n\n<li>guide generation<\/li>\n\n\n\n<li>pricing or unlocks<\/li>\n<\/ul>\n\n\n\n<p>If participants have already started, consider whether it is better to create a new cohort instead of changing the existing one.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Cohort status<\/h2>\n\n\n\n<p>A cohort may have different lifecycle states.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Draft<\/h3>\n\n\n\n<p>The cohort is being configured. Participants may not have access yet.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Active<\/h3>\n\n\n\n<p>The cohort is live. Participants can begin or continue the process.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Completed<\/h3>\n\n\n\n<p>The active program phase is finished. Participants may move into guide generation and post-program reflection.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Archived<\/h3>\n\n\n\n<p>The cohort is no longer active but may remain available for historical reference.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">When should I create a new cohort instead of editing?<\/h2>\n\n\n\n<p>Create a new cohort when:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>a new group is starting<\/li>\n\n\n\n<li>a new program cycle begins<\/li>\n\n\n\n<li>the group has different enabled pillars<\/li>\n\n\n\n<li>the facilitator structure is different<\/li>\n\n\n\n<li>reporting should be separate<\/li>\n\n\n\n<li>participants should not be mixed with a previous group<\/li>\n<\/ul>\n\n\n\n<p>Editing is best for small corrections. New cohorts are better for new program cycles.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Common questions<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Can I create a cohort without launching it?<\/h3>\n\n\n\n<p>Yes. You can create a draft cohort and finish setup later.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Can I add participants after launch?<\/h3>\n\n\n\n<p>Possibly, depending on your organization\u2019s rules. Changing enabled pillars after launch can affect completion and guide generation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Troubleshooting<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">I cannot create a cohort.<\/h3>\n\n\n\n<p>You may not have Champion or Admin access, or Leadership Compass may not be enabled for your organization.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Participants cannot see the cohort.<\/h3>\n\n\n\n<p>Confirm that:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the cohort is active<\/li>\n\n\n\n<li>the participant has been added<\/li>\n\n\n\n<li>the participant has the Participant role<\/li>\n\n\n\n<li>the participant is in the correct organization<\/li>\n\n\n\n<li>notifications or access links were sent correctly<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">A leader cannot see participants.<\/h3>\n\n\n\n<p>Confirm that the leader is assigned to those participants or that their cohort role is correct.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">A facilitator cannot access the cohort.<\/h3>\n\n\n\n<p>Confirm that the facilitator has been added to the cohort and has the Facilitator role.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">The wrong pillars are showing.<\/h3>\n\n\n\n<p>Review the cohort\u2019s enabled pillars.
