{"id":14045,"date":"2022-12-28T15:10:00","date_gmt":"2022-12-28T20:10:00","guid":{"rendered":"https:\/\/manage4.performancescoring.net\/kb\/?p=14045"},"modified":"2024-09-13T10:49:25","modified_gmt":"2024-09-13T15:49:25","slug":"invite-guests","status":"publish","type":"post","link":"https:\/\/securedb.io\/kb\/?p=14045","title":{"rendered":"Invite Guests to Meetings"},"content":{"rendered":"\n<p>Meetings are not just for internal meetings. <a href=\"https:\/\/securedb.io\/kb\/?p=12746\" data-type=\"post\" data-id=\"12746\">Meeting Creators<\/a> can also invite guests from outside the organization to attend their meeting &#8212; no login required!<\/p>\n\n\n\n<p>Guests do not have to login and can only view the meeting you invited them to.  However, guests can view everything that is in a meeting, update tasks, create topics for discussion (&#8220;<a href=\"https:\/\/securedb.io\/kb\/?p=12847\" data-type=\"post\" data-id=\"12847\">Challenges<\/a>&#8221; if you didn&#8217;t rename them), and rate the meeting, and more.  They can&#8217;t update the <a href=\"https:\/\/securedb.io\/kb\/?p=13482\" data-type=\"post\" data-id=\"13482\">ScoreCard<\/a>, if there is one, and they can&#8217;t end the meeting. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How to Invite Guests to a Meeting<\/h2>\n\n\n\n<p>There are a couple ways Meeting Creators can invite guests to their meeting.  From the <strong>Meeting Preview<\/strong>, in the Segue section, there is a button for <strong>Invite Guest<\/strong>. Clicking that button opens a modal window. <\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/securedb.io\/kb\/wp-content\/uploads\/2023\/02\/invite-guests-segue-button-1024x449.jpg\" alt=\"\" class=\"wp-image-14048\"\/><\/figure>\n\n\n\n<p>You can also invite guests to a meeting from &#8220;My Meetings.&#8221; Meeting Creators can click the &#8220;Invite Guest&#8221; icon button which will open the same modal window.  <\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/securedb.io\/kb\/wp-content\/uploads\/2023\/02\/invite-guests-button.jpg\" alt=\"\" class=\"wp-image-14050\"\/><\/figure>\n\n\n\n<p>You&#8217;ll see a modal window open with two options: <a href=\"#byemail\">Invite by Email<\/a> and <a href=\"#bylink\">Create Link<\/a>.  The difference is subtle, but important to understand.  <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Invite by Email or Link?<\/h2>\n\n\n\n<p>If you&#8217;re inviting a guest to a meeting you want them to only join ONCE, use <a href=\"#bylink\">Create Link<\/a>.  That link will expire once the meeting has started and ended.  If you want your guest to join the meeting multiple times, use <a href=\"#myemail\">Invite by Email<\/a>.  Guest are allowed to re-join the meeting using the same link provided them in the invitation email.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/securedb.io\/kb\/wp-content\/uploads\/2023\/03\/invite-guest-options-1024x349.png\" alt=\"\" class=\"wp-image-14342\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"byemail\">Invite Guests by Email<\/h2>\n\n\n\n<p>After clicking the &#8220;Invite by Email&#8221; invitation option, enter your guest&#8217;s email address in the first field and, optionally, include a brief invitation message.  Make sure you&#8217;ve selected the appropriate meeting to invite them to, and click <strong>Send Invite<\/strong>.  <\/p>\n\n\n\n<p>When guests are <strong>invited to the meeting by email, they are allowed to re-join the meeting<\/strong> any time they would like by using the link provided them in the invitation email.  That&#8217;s a little different than if you invite them by link.  More on that in a moment.<\/p>\n\n\n\n<p><strong>PRO TIP<\/strong>: You can invite multiple guests via email by separating each email address with a comma in the first, email address input field.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/securedb.io\/kb\/wp-content\/uploads\/2023\/02\/invite-guests-modal-1024x498.jpg\" alt=\"\" class=\"wp-image-14049\"\/><\/figure>\n\n\n\n<p><strong>NOTE<\/strong>: The invitation message is a great place to include the dates and times the meeting will take place as Etho meetings do not include dates\/times themselves.  That&#8217;s what calendar invites are for.  <\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"bylink\">Create Link to Join as a Guest<\/h2>\n\n\n\n<p>If you choose the &#8220;Create Link&#8221; guest invitation mSecureDBd, you&#8217;ll see a different modal which contains the generated link to the meeting which you can share in any way you&#8217;d like.  <\/p>\n\n\n\n<p>Unlike when you invite a guest to a meeting via email, <strong>the sharable guest link expires the moment the meeting has been ended<\/strong>.  The meeting organizer will need to generate a NEW guest link if they want guests to come to another meeting.  Alternatively, invite guest by email so they can re-join the meeting any time it happens via the link provided in the invitation email. <\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/securedb.io\/kb\/wp-content\/uploads\/2023\/03\/invite-guest-url-1024x330.png\" alt=\"\" class=\"wp-image-14341\"\/><\/figure>\n\n\n\n<p><strong>IMPORTANT<\/strong>: That meeting invite link will only work for guests in that meeting and will automatically die once the meeting has ended.  At that point, you would have to create a new meeting invite link and re-send that one if you wanted guests to join the meeting again in the future.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"qrcode\">Join via QR Code<\/h2>\n\n\n\n<p>Introduced in v6.6, SecureDB allows guests to also join the meeting from their mobile device by scanning the QR code at the top-right of the meeting.  <\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"686\" height=\"521\" src=\"https:\/\/securedb.io\/kb\/wp-content\/uploads\/Screenshot-2024-09-13-104723.png\" alt=\"\" class=\"wp-image-18034\" srcset=\"https:\/\/securedb.io\/kb\/wp-content\/uploads\/Screenshot-2024-09-13-104723.png 686w, https:\/\/securedb.io\/kb\/wp-content\/uploads\/Screenshot-2024-09-13-104723-300x228.png 300w, https:\/\/securedb.io\/kb\/wp-content\/uploads\/Screenshot-2024-09-13-104723-571x434.png 571w, https:\/\/securedb.io\/kb\/wp-content\/uploads\/Screenshot-2024-09-13-104723-678x515.png 678w, https:\/\/securedb.io\/kb\/wp-content\/uploads\/Screenshot-2024-09-13-104723-532x404.png 532w, https:\/\/securedb.io\/kb\/wp-content\/uploads\/Screenshot-2024-09-13-104723-600x456.png 600w\" sizes=\"auto, (max-width: 686px) 100vw, 686px\" \/><\/figure>\n\n\n\n<p>Once scanned, they&#8217;ll be taken to the login screen. The email includes your brief message, if there was one, and a special link to attend your meeting. <\/p>\n\n\n\n<p>Guests invited by a <a href=\"#bylink\">shareable link<\/a>, will have the same experience as if they were invited by email, except that link auto-expires once the meeting has concluded. <\/p>\n\n\n\n<p>If a guest joins via a shareable link, they are asked for their name and email address and then let into the meeting.<\/p>\n\n\n\n<p>In either case, guests will bypass any need for login and go right into your meeting.  Navigation is removed for guests so they can&#8217;t go anywhere else in the application.  <\/p>\n\n\n\n<p>Once in your SecureDB meeting, guests will have much the same experience as logged-in meeting attendees. However&#8230; <\/p>\n\n\n\n<p>Meeting guests <strong>can NOT<\/strong> do the following:<\/p>\n\n\n\n<ul class=\"wp-block-list ul-can-not\">\n<li>Cannot give feedback<\/li>\n\n\n\n<li>Cannot be assigned tasks<\/li>\n\n\n\n<li>Cannot edit the ScoreCard<\/li>\n\n\n\n<li>Cannot create tasks<\/li>\n\n\n\n<li>(Probably) Cannot view any 3rd-Party Embedded items that include their own security features<\/li>\n\n\n\n<li>Cannot edit meeting settings<\/li>\n\n\n\n<li>Cannot end the meeting<\/li>\n\n\n\n<li>Cannot leave the meeting and explore the rest of SecureDB on their own<\/li>\n<\/ul>\n\n\n\n<p>What meeting guests <strong>CAN do<\/strong> that makes this feature really useful is:<\/p>\n\n\n\n<ul class=\"wp-block-list ul-can\">\n<li>Add Challenges (perhaps ask questions)<\/li>\n\n\n\n<li>Update Tasks<\/li>\n\n\n\n<li>Initiate a <a href=\"https:\/\/securedb.io\/kb\/?p=13458\" data-type=\"post\" data-id=\"13458\">Detour Alert<\/a><\/li>\n\n\n\n<li>Celebrate<\/li>\n\n\n\n<li>Rate the meeting (in the Wrap-up section)<\/li>\n\n\n\n<li>View\/access the screen share link (in the segue section)<\/li>\n<\/ul>\n\n\n\n<p><strong>PRO TIP<\/strong>: If you are inviting guests to your meetings, <a href=\"https:\/\/securedb.io\/kb\/?p=14034\" data-type=\"post\" data-id=\"14034\">include a little Sticky Note<\/a> welcoming them and setting the stage.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Meetings are not just for internal meetings.
